These Terms and Conditions help your wedding, birthday or private event run smoothly. They are especially important where venue access, timing, payment, layout approval and setup conditions may affect the photobooth experience.
Prerequisites before the event
A site visit may be organised at the discretion of the Kiss Photobooth team when we are notified before the event. Whether a site visit is organised or not, the client should read these terms and take the required steps before the event date.
The venue should be easily accessible because the equipment is heavy and requires proper handling. The client should obtain any required venue permission so our vehicle and team can access the setup area as closely as possible. If stairs, long carrying distances, beach access or difficult access are involved, extra help or an additional setup fee may be required.
Invoicing
- An invoice is normally issued after the booking request is submitted through the website.
- Please check the selected package, options, date, venue and details before submitting the booking form.
- Once an invoice is issued, amendments or cancellation of the invoice may not always be possible.
- If you are unsure about a package or option, please contact us before submitting your booking.
Payment terms
- A 50% payment is required after receiving the invoice to confirm the booking.
- No permanent booking is reserved until the required payment is received.
- The balance should be settled and cleared no later than 14 calendar days before the event date.
- Kiss Photobooth reserves the right to cancel the booking if payment terms are not respected.
Cancellation policy
The client may cancel the booking without charge up to 45 days before the event date, provided this is not later than 7 days after confirmation. After this period, cancellation fees may apply.
| When Kiss Photobooth is notified | Cancellation fee |
|---|---|
| Between 30 and 45 days before the event, and after 15 days after booking | 15% of the total rental cost |
| Between 7 and 30 days before the event, and after 15 days after booking | 50% of the total rental cost |
| Less than 7 days before the event, and after 15 days after booking | 100% of the total rental cost |
Change of date or venue
The client should advise Kiss Photobooth of any change in date, time or venue at least 2 weeks before the event. Changes remain subject to availability, especially during busy periods such as October, November and December.
Photo layouts and design approval
- The client should provide any required photo layout draft not later than 7 days before the event.
- Examples of photo layouts can be viewed on the photo designs page.
- A maximum of 3 versions are included: the first proposal and 2 revisions.
- Additional revisions may be subject to a fee of Rs. 1,000 + VAT.
- No free or paid revision request will be considered 2 working days before the event.
- Photos are printed in standard 4 x 6 inch format, approximately 10 x 15 cm, unless otherwise agreed.
- The Kiss Photobooth logo is included on printed and electronic copies unless a logo-removal option has been agreed.
Printing terms
Printouts are unlimited during the rental period at the rate of 1 printout per session. Duplicate prints can be provided through an additional option.
The photobooth is designed to give guests an experience, not to operate as a high-volume printing machine. The normal process includes photo capture, review, email entry when used, printing and system checks. This protects the printer and helps avoid breakdowns during the event.
Photo storage and digital access
- Access to photos, emails and reports is provided through a secured cloud platform.
- Digital photos are stored for a twelve-month period from the date of recovery of the Kiss Photobooth.
- Clients should download their media during the access period.
- After the online space expires, media may no longer be retrievable.
Safe use of the photobooth
Kiss Photobooth may stop operating or using equipment at any time without refund, compensation or extension of the rental period if conditions become unsafe or unsuitable.
- Rain, wind or weather conditions that may threaten the equipment, especially outdoors.
- Civil disorder, unsafe behaviour, unsupervised pets or unsupervised children near the equipment.
- Muddy, soft, uneven or unsafe floor surface.
- Any nearby threat to guests, operators or equipment.
Moving the photobooth during the event
An extra fee may apply if the photobooth has to be moved from one location to another during the rental. The time needed to move and reinstall the equipment may be deducted from the rental period.
Common setup requirements
- A French or UK power socket should be available within 15m of the photobooth location.
- If the client wants to use their own backdrop, its proper installation is the client’s responsibility.
- For a better user experience, the sun should not face guests directly while they pose.
- Extra light behind a backdrop or green screen may affect the final photo quality.
Green screen setup requirements
Green screen setup requires more control than a standard photobooth setup. It should be installed indoors, under a terrace or under a tent, away from wind and harsh sunlight.
- No light source should be placed behind the green screen.
- The green screen requires sufficient height and space.
- Guests should avoid wearing green because green clothing may be affected by the background replacement.
- An area of around 4m x 4m should be allocated for optimal operation.
Force majeure
In case of force majeure, the client may request to reschedule the event to a later date. Definitive cancellation may not be considered in such circumstances.
Kiss Photobooth reserves the right to cancel a reservation or event by informing the client in writing or by email in the event of circumstances beyond reasonable control, including war, fire, explosion, flood, strike, labour dispute, accident, breakdown, emergency repair or maintenance, cyclone, act of governmental authority, renovation, order of public authorities, insolvency or financial liquidation of the client, or any event that may be detrimental to Kiss Photobooth.
Common questions about these terms
When is my booking confirmed?
Your booking is confirmed when the required payment has been received and confirmation has been sent.
Can I change the date or venue?
You should inform us at least 2 weeks before the event. Changes remain subject to availability.
Is setup time part of the rental time?
No. Setup normally happens before the rental period starts, so your rental time is used for the event itself.
What happens if the weather is bad?
If weather conditions may damage equipment or create unsafe conditions, the booth may not operate outdoors. A protected covered area should be arranged.
Do I need to provide power?
Yes. A suitable power socket should be available within 15m of the booth location.
